Position Summary

The Personal Assistant to the Owner provides confidential, organized, and proactive administrative support to the Owner of Megan Properties Management. This position assists with the coordination of business operations, scheduling, communications, documentation, personal and professional appointments, and special projects.

The ideal candidate is highly organized, trustworthy, detail-oriented, and capable of managing multiple priorities while exercising sound judgment. This role requires discretion when handling confidential business, financial, employee, and personal information.

The Personal Assistant will serve as a key support resource to the Owner, helping ensure that daily responsibilities, deadlines, communications, and assigned projects are completed efficiently and professionally.

Essential Duties and Responsibilities:

Administrative Support:

Manage and maintain the Owner's professional calendar, appointments, meetings, and commitments.
Coordinate meetings, prepare agendas, and track follow-up items.
Draft, proofread, and organize emails, correspondence, reports, and business documents.
Screen and prioritize incoming calls, emails, and requests as directed by the Owner.
Maintain organized electronic and physical files, records, and confidential documentation.
Prepare presentations, spreadsheets, reports, and other materials as needed.
Assist with tracking deadlines, action items, and outstanding requests.

Property Management Operations Support:

Assist the Owner with administrative coordination across property management operations.
Communicate with Regional Operations Managers, Property Managers, vendors, contractors, and corporate personnel as directed.
Help organize property-related reports, inspections, project updates, and operational documentation.
Follow up on assigned tasks and provide status updates to the Owner.
Assist with special projects related to property operations, staffing, compliance, and business development.
Coordinate information and documentation between the Owner and internal departments.

Financial and Business Support:

Assist with organizing business expenses, receipts, invoices, and supporting documentation.
Coordinate with accounting and administrative personnel on assigned requests.
Assist with preparing reports and gathering information for the Owner's review.
Maintain confidentiality regarding financial information and business activities.
Support the coordination of business appointments, travel arrangements, and other logistics as assigned.

Personal Assistance and Scheduling:

Coordinate personal appointments, reservations, and scheduling needs for the Owner.
Assist with personal and professional errands as authorized and within the scope of the position.
Arrange travel, transportation, and itineraries when requested.
Manage personal and business reminders, follow-ups, and time-sensitive commitments.
Maintain professionalism and discretion when handling personal information.

Confidentiality and Professional Conduct:

Maintain strict confidentiality regarding the Owner, employees, residents, vendors, company operations, and personal matters.
Exercise good judgment when managing sensitive information and communications.
Represent the Owner and company professionally in interactions with internal and external contacts.
Follow company policies, procedures, and reasonable instructions.
Perform other duties and special projects as assigned by the Owner.

Qualifications:

High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.
2–5 years of experience in executive assistance, personal assistance, office administration, property management, or a related field preferred.
Experience in property management, real estate, or business operations is a plus.
Strong organizational, time-management, and prioritization skills.
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion and professionalism.
Proficiency in Microsoft Office, Outlook, Excel, Teams, and document management systems.
Ability to work independently, anticipate needs, and meet deadlines.
Strong attention to detail and problem-solving skills.
Valid driver's license and reliable transportation if business travel or errands are required.

Working Conditions:

This is a full-time position that may require occasional schedule flexibility based on the Owner's business commitments. The position may involve office work, property visits, meetings, travel, and occasional personal or business errands as assigned.
