Property Management Accounts Payable Specialist

About the Job
Job Responsibilities: 
  • Process and enter invoices, payments, and accounting transactions into the property management software system.
  • Assist with accounts payable functions, including vendor setup, invoice verification, and payment processing.
  • Prepare and maintain financial records, reports, and supporting documentation.
  • Reconcile bank accounts, security deposit accounts, and vendor statements.
  • Assist with monthly, quarterly, and year-end closing processes.
  • Respond to tenant, vendor, and property owner inquiries regarding billing, payments, and account balances.
  • Maintain accurate electronic and physical filing systems for accounting documents.
  • Support preparation of owner statements and financial reports.
  • Monitor outstanding balances.
  • Ensure compliance with company policies, accounting procedures, and applicable regulations.
  • Assist with audits and special accounting projects.
  • Perform other administrative and accounting duties as assigned.

Qualifications: 
Education: 
  • Associate degree in Accounting, Finance, Business Administration, or related field preferred.
  • Equivalent combination of education and experience may be considered.
Experience: 
  • 1–3 years of accounting, bookkeeping, accounts payable, or administrative support experience.
  • Experience in property management, real estate, or related industries preferred.
  • Familiarity with property management software is a plus.
Skills and Competencies: 
  • Strong attention to detail and accuracy.
  • Knowledge of basic accounting principles and practices.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to prioritize tasks and meet deadlines.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Customer service orientation when interacting with tenants, owners, and vendors.

Physical Requirements: 
  • Prolonged periods of sitting and working at a computer.
  • Ability to occasionally lift and carry files or office supplies up to 20 pounds
